AI-Assisted Services and Data Use

Purpose

This Notice explains the principles Hoslift applies when AI-assisted tools are used in Website, enquiry and service workflows. It supplements the Privacy Policy, Terms and Conditions and any project agreement. Where a Statement of Work, Data Processing Addendum or written Client instruction establishes stricter controls, those controls apply to the relevant engagement.

Suitable Uses

Subject to the nature and risk of the work, AI may assist research, ideation, drafting, summarisation, coding, testing, documentation, classification, search and workflow support. The permitted purpose, data category, provider and level of human review are considered before material use.

AI assistance does not change the agreed scope or transfer responsibility for a Deliverable to the tool provider.

Human Responsibility

Hoslift remains responsible for final Deliverables within the agreed scope. AI output is treated as unverified working material until it receives review appropriate to its intended use. Review may include source checking, factual verification, security testing, intellectual-property checks and qualified professional assessment.

High-impact, professional, safety, legal, financial, medical, employment or eligibility decisions are not delegated to an unreviewed model. Where a regulated or safety-critical use is proposed, the applicable agreement must define the qualified human authority, decision boundary and evidence requirements.

Data Rules

• Minimize and de-identify data where practical.
• Do not submit passwords, private keys, payment credentials or unrestricted sensitive records.
• Use only approved provider accounts/settings.
• Do not use Client confidential, enquiry or Personal Data to train a general model without express authorization and a valid basis.
• Record project-specific restrictions in the SOW/DPA.
• Respect third-party intellectual-property and licence obligations.

Limitations

AI can hallucinate, omit context, reproduce bias, produce insecure code or generate similar content for others. It is not treated as an authoritative source without verification.

Outputs may also be affected by provider changes, model updates, service availability and incomplete input. Hoslift does not represent AI output as original, confidential, accurate or fit for a specific purpose unless the applicable review and acceptance process supports that conclusion.

Optional Consent

Consent is requested only where it is the appropriate legal basis and must be separate, informed and withdrawable. Necessary internal processing is not misrepresented as optional consent; it instead relies on the applicable agreement/basis and notice.

Client Choices

A Client may ask about material AI use, request reasonable project restrictions before acceptance, and receive the agreed disclosure in the SOW. Restrictions may change feasibility, fees or timing.

Changes and Contact

Material changes to purpose, providers, training settings, data categories or high-risk use trigger renewed privacy, security and contractual review. Questions, objections or requests relating to AI-assisted processing may be sent to privacy@hoslift.com.
